How to Set Up Google Workspace Inboxes for Cold Email

This guide will walk you through everything from purchasing domains to connecting your inboxes to Prospi.

This guide covers setting up Google Workspace inboxes from scratch and connecting them to Prospi for cold email outreach.

1. Purchase Domains

  • Buy lookalike or backup domains from GoDaddy, Porkbun, or any registrar.

  • Register 1 domain per Google Workspace account for maximum safety.

  • Do not create more than 3 inboxes per domain.


2. Create a Google Workspace Account

  1. Go to workspace.google.com and sign up.

  2. Enter your organization name (this cannot be changed later).

  3. Add your domain when prompted.

  4. Create the admin account.

  5. Keep a record of all login credentials and domain mappings.


3. Verify Your Domain and Activate Gmail

  • Verify your domain inside the Google Workspace Admin Console.

  • If using GoDaddy, Namecheap, or Cloudflare, this can often be done automatically.

  • Activate Gmail services from the Admin Console.


4. Set Up SPF, DKIM, and DMARC

These DNS records are essential for deliverability.

  • SPF: Usually auto-configured when you activate Gmail.

  • DKIM: Go to Admin Console - Apps - Gmail - Authenticate Email. Generate a new record (selector: google, key length: 2048), add the TXT record to your DNS, then click Start Authentication.

  • DMARC: Add TXT record: v=DMARC1; p=quarantine; rua=mailto:[email protected]; pct=90; sp=none


5. Enable IMAP for Each Mailbox

  1. Open Gmail and go to Settings - See all settings.

  2. Click the Forwarding and POP/IMAP tab.

  3. Enable IMAP and save changes.


6. Authorize Prospi in Google Workspace

  1. Go to Admin Console - Security - API Controls - Manage Third-Party App Access.

  2. Click Add App - OAuth App Name or Client ID.

  3. Paste the Prospi Client ID and authorize it.

  4. Mark Prospi as Trusted and enable access for all organizational units.

7. Connect Your Inbox to Prospi

  1. In Prospi, go to Email Accounts and click Add Account.

  2. Select Google Workspace.

  3. Follow the on-screen authorization steps.

  4. Your inbox will appear in the list once connected.

8. Confirm Setup

  • Go to Email Accounts and check for a green checkmark in the Authorized column.

  • Warmup starts automatically.

  • Wait at least 2 weeks before launching campaigns.

You can connect up to 3 inboxes per domain. Total inbox count depends on your Prospi plan.
