Domain Health Checklist

Here's how to check and maintain domain health before and during campaigns.

šŸ”§ Technical Setup

  • SPF record is configured correctly
    šŸ‘‰ Check using https://mxtoolbox.com/spf.aspx — just enter your domain.

  • DKIM is set up and authenticated
    šŸ‘‰ Go to your email provider’s admin console and check DKIM status. You can also use MXToolbox DKIM check.

  • DMARC is live and reporting
    šŸ‘‰ Use https://mxtoolbox.com/DMARC.aspx to confirm it's working and sending reports.

  • MX records are active and correct
    šŸ‘‰ Use MXToolbox to check that your domain is routing emails correctly.


šŸ”„ Warm-Up & Sending Limits

  • Inbox is in warm-up (minimum 2 weeks)
    Don’t launch campaigns before warm-up is done. Prospi handles this automatically.

  • Volume is under safe limits
    Max 20 emails per inbox/day, 60 per domain/day (post warm-up)

  • Warm-up process is still running
    Never turn off warm-up - even after campaigns start.

  • Replying to real conversations
    You or Prospi’s AI Inbox Manager are actively replying (not just sending).

  • Plain text emails only
    Avoid HTML or fancy design — it increases spam risk.

  • Copy uses advanced spintax
    Change subject lines, intros, CTAs — every message should be unique.

  • No spammy keywords
    Run a quick scan on tools like mail-tester or SmartReach’s email checker.

  • Includes AI-enriched personalization
    Use variables like {{company_mission}}, {{industry}}, or {{target audience}}


🧼 Reputation & Blacklist Monitoring

  • Check your domain on blacklist databases weekly

  • Bounce rate is under 5%
    Prospi does double email verification, including catch-all checks.

  • DNC/Unsubscribe list is enforced
    Leads who opted out or said ā€œnot interestedā€ are excluded from all future campaigns.
