Warmup and Deliverability - What You Need to Know

Here's how to check and maintain domain health before and during campaigns.

Once you purchase domains and email accounts through Prospi, they will appear in your account within 24 hours and warmup begins automatically. Here is what to expect and how to keep your deliverability strong.


Tracking Warmup Progress

You can check warmup status for each inbox at any time. The percentage complete is always visible in Email Accounts so you know exactly where things stand.


Technical Setup - DNS Records

If you purchased inboxes through Prospi, these are already configured. If you brought your own inboxes, verify all four are in place:

  • SPF - Check with Prospi (enter your domain).

  • DKIM - Check status with Prospi.

  • DMARC - Verify with Prospi

  • MX records - Confirm your domain routes with Prospi.


Sending Limits

  • Maximum 20 emails per inbox per day (after warmup).

  • Maximum 60 emails per domain per day.

  • Keep warmup running even after campaigns start - never turn it off.

  • Replying to interested leads also helps your inbox reputation.

Never launch campaigns before warmup is complete. Prospi enforces this automatically.


Email Content Best Practices

  • Use plain text emails - HTML and fancy formatting increase spam risk.

  • Vary your subject lines, intros, and CTAs across sends using spintax.

  • Avoid spammy keywords - test with tools like mail-tester.com.

  • Include AI-enriched personalization variables like company mission, industry, or target audience.


Reputation and Blacklist Monitoring

  • Check your domains on blacklist databases weekly using Prospi

  • Keep bounce rate under 1% - Prospi's double email verification helps with this.

  • Leads who opted out or said not interested are automatically excluded from future campaigns.
