Variants and Follow-Ups in Your Email Sequence

Variants are different versions of the same initial email that Prospi rotates between your leads, while follow-ups are additional emails sent only if the lead does not reply to the previous message.

To access variants and follow-ups inside your campaign, follow these steps:

  1. Click Campaigns (the fifth icon on the left side of Prospi).

  2. Open the campaign you want to edit.

  3. Click Email sequence (the second icon inside the campaign menu).

Once you enter the Email Sequence section, you will see Step 1, Add Variant, and Add Step.


1. Variants (Add Variant)

Variants are different versions of the same first email.

How they work:

• Step 1 is your main first email
• Clicking Add Variant creates a second version (Variant 2)
• Clicking it again creates Variant 3, Variant 4, and so on
• You can create unlimited variants

Why variants are useful:

• Prospi rotates between your variants so each lead may receive a slightly different email
• Improves deliverability because you’re not sending the exact same message to everyone
• Allows A/B testing to see which version performs better
• You can easily turn off any variant you don’t want to use anymore


2. Follow-Up Steps (Add Step)

Follow-ups are additional emails that are sent only if the lead does not reply to the previous message.

How they work:

• Clicking Add Step creates Step 2


• Clicking again creates Step 3, Step 4, etc.
• Follow-ups are sent automatically in sequence, but only if there is no reply

Why follow-ups matter:

• Most leads do not reply to the first email
• Follow-ups significantly increase your chance of getting a response
• They gently remind the lead about your previous outreach

Recommended timing:

First follow-up: 2–3 days after the initial email
Second follow-up: 5–7 days after the first follow-up

Each follow-up can have:

• Its own subject
• Its own message
• Its own variants (optional)


3. Saving your progress

When you're done:

• Click Save changes

If you don’t click Save changes:

• The sequence stays as a Draft
• Draft = saved visually but won’t be sent
• You must confirm changes for emails to go live
