Getting Your Campaign Sending - Quick Checklist
Use this checklist to confirm everything is set up for your campaign to send successfully. Walk through each step below and you will be sending in no time.
1. Confirm Your Daily Sending Limit
Every email account in Prospi has a configured daily sending limit. Once the limit is reached for the day, sending resumes the next day when your sending window opens.
Go to Settings → Email Accounts and check the daily limit for each account assigned to the campaign.
Review the campaign's Activity Log to confirm how many emails were sent today.
If you need higher volume, either increase the daily limit (only if the account is fully warmed up) or add more sending accounts to the campaign.
Daily limits reset based on the sending schedule's timezone setting.
2. Verify Warmup Is Complete
New email accounts go through an automated warmup process. During warmup, Prospi gradually increases the sending volume over several weeks to build sender reputation. The account will reach its full daily limit once warmup is complete.
Navigate to Email Accounts and check the warmup status of the account. Look for the warmup progress indicator.
Do not skip or force-complete warmup - completing it fully protects your sender reputation and keeps you out of spam.
Typical warmup takes 2–4 weeks. During this period, the account will send a fraction of its configured daily limit.
If you need full volume immediately, use an account that has already completed warmup.
3. Check That Your Email Accounts Are Connected
A connected email account is required for sending. Here is how to confirm your accounts are active:
Go to Settings → Email Accounts and look for accounts showing a green "Connected" status.
If any account needs reconnection, click Reconnect and re-authenticate with Google or Outlook.
After reconnecting, wait a few minutes for the system to verify the connection, then check that the campaign resumes sending.

4. Confirm Your Sending Schedule
Prospi sends emails according to your configured schedule. Confirm the following:
Check that the current time falls within your campaign's sending window.
If you have just activated a campaign, allow 15–30 minutes for emails to begin flowing, then check the Activity Log.
If you would like to restart the sending system, try pausing and resuming the campaign. This reprocesses the pending emails.
5. Add Leads to Your Campaign
Your campaign needs pending leads in order to send. Here is how to confirm leads are ready:
Check the campaign's lead list to see the status breakdown (sent, pending, skipped).
Upload new leads or add leads from a different list if all current leads have already been contacted.
Review your deduplication settings - if leads exist in another active campaign, they may be excluded automatically.
