What Is the Viewer Role?
The Viewer role gives someone read-only access to a workspace. Viewers can see campaign performance, analytics, and lead data - but they cannot make any changes. This makes it the perfect option for giving clients visibility into their cold email campaigns without risking accidental edits.
What Viewers Can See
Campaign performance - Open rates, reply rates, click rates, bounce rates, and overall campaign progress.
Lead lists - View the leads that are part of active and completed campaigns.
Analytics dashboards - Access workspace-level reporting and statistics.
Email account status - See which sending accounts are connected (without being able to modify them).
What Viewers Cannot Do
Create, edit, start, or pause campaigns.
Import, edit, or delete leads.
Connect or remove email accounts.
Invite or remove team members.
Change workspace settings (including renaming).
Generate or view API keys.
Configure webhooks or integrations.
How to Invite a Client as a Viewer
Step 1 - Go to Workspace Settings
Make sure you are in the correct workspace (the one you want the client to access). Click Settings in the left sidebar, then navigate to the Team or Members section.
Step 2 - Invite a New Member
Click "Invite Member" and enter the client's email address.
Step 3 - Set the Role to Viewer
In the role dropdown, select "Viewer". This ensures they will only have read-only access.
Step 4 - Send the Invitation
Click Send Invite. The client will receive an email with a link to create their Prospi account (if they do not already have one) and access the workspace.
What the Client Experience Looks Like
When a Viewer logs in, they see the same Prospi interface - but all editing controls are hidden or disabled. They can browse campaigns, view stats, and explore lead data without any risk of changing anything.
If a Viewer tries to access a restricted feature, they will see a message indicating that the action requires a higher permission level.
Managing Viewer Access
Changing roles: An Admin can upgrade a Viewer to Member (or vice versa) at any time from the Team settings page.
Removing access: To revoke a Viewer's access, go to Team settings and click Remove next to their name.
Multiple workspaces: If you manage multiple clients, invite each client as a Viewer only to their own workspace. They will not see other workspaces.
Best Practices for Client Access
One workspace per client - Keep client data isolated by using separate workspaces. Invite the client as a Viewer to only their workspace.
Set expectations - Let clients know they have view-only access. Share this article with them if needed.
Review access regularly - Remove Viewer access for clients you are no longer working with.
